THE ROLE

I'm Laura, the founder. I'm skilled in strategy, systems design, and delivering client results. What I need is someone who excels at execution - someone who can take clear direction, run with it, and own the day-to-day operations, allowing me to focus on growth.

This isn't a "figure it out yourself" role. I'll design the systems. You'll implement and execute them.

This also isn't a "stay at 10 hours forever" role. I'm looking for someone who wants to grow WITH the business - someone who's excited about the opportunity to build something together and eventually step into a full-time operations manager role.

Starting responsibilities:

  • Client communication and coordination

  • Team task assignment and follow-up

  • Project tracking and deadline management

  • Invoice and timesheet processing

  • Client onboarding coordination

  • Notion organization and maintenance

  • Scheduling and calendar management

As you grow into the role (within 3-6 months):

  • Leading team coordination independently

  • Creating SOPs based on established processes

  • Identifying bottlenecks and suggesting solutions

  • Client success management

  • Potentially hiring and training additional team members


WHAT SUCCESS LOOKS LIKE IN THIS ROLE

30 days in:

  • You're handling daily client check-ins independently

  • Team members know to come to you first (not me) for task assignments

  • You've documented 5+ recurring processes

  • I'm no longer the bottleneck for operational questions

90 days in:

  • You're running weekly client communication without my oversight

  • You're coordinating the team and flagging issues before they become problems

  • You've identified and solved at least 3 operational inefficiencies

  • I've increased your hours because you've proven you're indispensable

6 months in:

  • You're my true right hand - I trust you to make decisions

  • Clients see you as the go-to person for everything except strategy

  • You're ready for (and want) more responsibility and hours

  • We're talking about what full-time looks like


YOU'RE THE RIGHT PERSON IF:

You're an executor, not someone who needs constant direction
You can take clear instructions and run with them. You don't need your hand held.

You're detail-oriented and organized
Things don't fall through the cracks on your watch. You have systems (even if they're simple ones).

You communicate proactively and professionally
You'll be client-facing. You know how to write clear, professional messages and when to escalate vs. handle something yourself.

You're tech-capable
You can learn new platforms quickly. You're not intimidated by Notion, Slack, or basic troubleshooting.

You want to grow, not just collect a paycheck
This role has real growth potential. You're excited by that, not scared of it.

You care about doing good work
You take pride in your work. You want the business to succeed because you're part of building it.

You can handle feedback
I'm direct. I'll tell you what's working and what's not. You don't take it personally - you use it to get better.

You're available during business hours
This isn't a "log on whenever" role. You need to be consistently available Monday through Friday for client and team coordination.


REQUIRED SKILLS

Must have:

  • Experience with operations, project management, or executive assistant work

  • Strong written communication skills

  • Comfort with: Slack, Notion, Google Workspace

  • Ability to work independently with minimal supervision

  • Reliable internet and work setup

Nice to have (or willing to learn):

  • Experience in marketing agencies or coaching businesses

  • Familiarity with: Kajabi, Flodesk, social media platforms

  • Client-facing communication experience

  • Process documentation experience
